Your role

  • Organizes client engagement events with brokers every quarter like webinars, speaker forums, fun runs, movie screenings, etc. 
  • Builds a database of existing / target/pursuits clients gathered from meetings, client engagement activities, networking events, etc.
  • Monitors the attendance rate, new attendees’ rate, and Net Promoter Surveys for the event.
  • Sends out post-event reports for all client engagement activities. 
  • Prepares the sending of the Net Promoter Surveys for clients and collates the answers.
  • Manages Collections and tracking of Accounts Receivables
  • Monitors the referrals received and sent to ensure that they are being acted upon.
  • Prepares communications, such as memos, reports, and other correspondence
  • Prepares and monitors the invoices monthly
  • Handles post-lease support for brokers
  • Handles divisional assistance roles such as but not limited to:
  • Organize / Book travel arrangements
  • Create and Maintain filing systems, both electronic and physical
  • Performs departmental housekeeping
  • Carry out administrative duties such as filing, copying, binding, scanning, etc.
  • Handles incoming and outgoing documents
  • Maintain office supplies inventory; anticipating needed supplies; placing orders for supplies
  • Maintain up-to-date employee records of the department (birthdates, contact information, address, etc.)

About you

  • Proven experience as an Office Admin Assistant is an advantage but Fresh graduates are welcome to apply
  • Must be at least a graduate of any Business-related course
  • Excellent time management skills and a multitasker
  • Ability to thrive and work in a dynamic environment
  • Well-organized, detail-oriented, and analytical
  • Ability to work effectively within a team
  • Proficient in MS Office
  • Able to work with all levels across the organization
  • Proficiency in English with strong interpersonal and effective communication abilities
