Involves in a day to day documentation requirement of the Logistics Coordinator for the shipments that are being processed – this mainly involves PO and receival entries, EDI registration, lodging of export declaration for Australian origin shipments, applying for import entries for African destination, consolidating the invoice and packing list and other documentation tasks
Key Accountabilities
A1. Prepares necessary documentation and data entry (eq. Clearance Documents, Order entry, receival) for both Australian and Non-Australian origin as per cut off required by the Logistics Coordinator.
A2. Opens job file order numbers for every transaction and maintains complete files until the transaction is closed.
A3. Maintains hard and soft copies of shipping documents in accordance with the company’s or department’s standard process on file management.
A4. Ensures the correctness of data being entered / processed into the system
2. Visa Cargo
B1. Handles the preparation of electronic data processing to Australian Customs for both AIR and Sea freight EXPORT Shipment for various accounts and meets the required cut off set by the Logistics Coordinator.
B2. Coordinates and assists the Logistics Coordinator for documentation task.
C1. Updating the Buy and Sell rates master file every quarter.
C2. Sending quarterly rates to different Agents, Airlines, Shipping Lines and Transport.
C3. Updates the rates according to the rate sheet that every Agent provided.
C4. Send email to Research and Development person in-charge for approval.
E1. Maintains a professional level of communication with internal and external customers to address any queries that may arise.
E2. Attends to customer’s inquiries in a timely and professional manner.
F1. Participates in development and implementation of new tools and processes of the department.
F2. Maintains awareness and knowledge of Company organizational development plan, theories, SOP, KPI and implementation procedures.
F3. Complies to corporate and departmental policies, procedures and service standards in conjunction with management.
F4. Ensures adherence to legal and company policies and procedures and undertake disciplinary actions if the need arises.
G1. Performs any other duties as maybe required by the immediate leader.
